A property owners' association has to resolve incidents constantly, while also making sure decisions made at the general meeting are properly recorded. For the Cap Sa Sal owners' association, I developed a management system with several modules, two of which —incidents and voting— are the core.

Incidents, from start to finish

Owners report incidents from their own app, attaching photos if needed, and receive automatic updates on progress. From the management console, the administrator handles the full process: initial stage, assigning staff, execution and resolution, logging dates, notes, materials, contracted services and staff involved at every stage.

Voting, with real-time results

Each meeting is set up with its list of votes, titles and possible answers, and the system manages attendance, proxy votes and online attendance. During the meeting, the administrator records each owner's vote with a single click, while results are displayed and updated dynamically on screen, including vote percentages.
The calculation respects each owner's ownership share and any proxy votes, and owners can also vote themselves from the app, as long as they haven't delegated their vote, don't have outstanding fees, or were present. Every vote, whether cast via the app or the program, is logged with its date, ready for any future audit.

Parking access control

Who can get in, and who controls it Parking access control

For each flat, a list of authorised licence plates is defined for parking access, and staff control entry in real time, able to log incidents or notes directly from the same control point.

The system was built to be modular, designed to grow with new modules as needed. It includes management of owners, flats and staff, data export in XLS format, and can be applied directly to any other residential community, without depending on the particularities of any single one.
