Project

A facility management company constantly handles tax documentation, invoices and project files, for both clients and suppliers. For FAMASE, I created the document management system that centralises all of this information, with independent access for each client and supplier.

Portal for clients and suppliers

Each customer and supplier, with their own space Portal for clients and suppliers

Each customer or supplier accesses the platform to upload their files into folders that are kept separate from one another. Multiple users can be created for each one, with whatever access and roles are needed for each folder.
  • No one sees documents that aren't meant for them
  • Different people within the same company can have different permissions
  • A user can share a file with any other user
Document validation

FAMASE staff review every uploaded file and mark it as validated or incorrect, using tools designed to make both accessing new documents and validating them easier.

Per-document chat

If a document is invalidated or a query comes up, a private chat for each file keeps the conversation contained, without mixing it with other documents.

Reminders and automation

Less repetitive work, more control Reminders and automation

The system sends reminders so users don't forget to upload recurring documents, notifying both FAMASE staff and the users involved. Folder-specific behaviours can also be configured, such as automatic monthly folder creation, custom data structures, or invoice amount controls.

  • Each folder can be tailored exactly to the type of document it holds
